If your main problem is meetings, pay for a meeting recorder such as Otter or Granola. If your main problem is a pile of notes and documents, Notion AI makes more sense, and only if you already live in Notion. Most people need just one of these, and many can stay on a free plan. Here is how to decide.
Plans and prices change often and sources disagree, so check each vendor’s pricing page before you pay.
Two different jobs hiding under one label
“AI note-taking” covers two very different tools. A meeting recorder joins your calls, transcribes them and writes a summary with action items. A knowledge workspace stores your notes and documents and adds AI to search, rewrite and summarize them. Buying the wrong type is the most common way people waste money here.
| Tool | Best at | Type | Free plan |
|---|---|---|---|
| Otter | Live transcripts of calls and lectures | Meeting recorder | Yes, with a monthly minutes cap |
| Granola | Clean summaries without a bot joining the call | Meeting recorder | Yes, limited |
| Notion AI | Searching and rewriting notes you already keep | Workspace | Small trial allowance |
| Obsidian + AI plugin | Private notes stored on your own device | Workspace | Core app is free |
Who should pay for a meeting recorder
You spend several hours a week on calls and are expected to send follow-ups. A recorder saves you the typing, and the transcript settles “who said what” arguments. Test the free tier for two weeks first. If you hit the limit every week, the paid plan is justified. If you do not, you have your answer.
One caution: recording a call can require consent from everyone on it, depending on where they live. Tell people you are recording, and check your employer’s policy before using any outside tool on work calls.
Who should pay for Notion AI
You already keep your projects, docs and meeting notes in Notion and often cannot find things. AI search across your own pages is the real value. If your notes live somewhere else, paying for this add-on makes little sense, because moving everything over costs more time than the tool saves.
Who should skip all of them
- You have one or two meetings a week. A phone voice memo plus a chatbot summary is enough. Our best free AI tools guide covers the options.
- You handle confidential material. Read the vendor’s data policy, and see our note on AI writing tools for small business for what to ask.
- You already pay for a chatbot subscription. Check what that plan can do before adding another. We broke down the tradeoffs in is ChatGPT Plus worth it.
A cheap way to test
- Pick one real week of work and use only the free plan.
- Count how many summaries you actually reread.
- Count the times you hit a limit.
- Pay only if both numbers are high, and use a monthly plan, not an annual one, until you are sure.
Our take
For most people the free tier of one meeting recorder covers the need. We would only pay if calls fill your week. Notion AI is for existing Notion users, and nobody else. And be wary of stacking subscriptions: the same habit of cutting your AI bill that saves money elsewhere applies here too.
